Merge fields

Message templates can include all of your Glide data. This includes data related to the message recipient, the relevant client (core data, allocated staff and any custom fields), the relevant job (e.g. job date, job positions, the job holder, deadline dates, actual and target dates from stages, custom job fields) as well as other general information.

Dynamic hyperlinks

You can include links in your templates or, better still, hyperlink text. Links can be to a set address or a part of the address can be derived from a custom client field. The latter allows for links to direct the recipient to a client specific site such as a Portal. You can also include the unique codes for the recipient, client and job allowing you to submit parameters to a webpage such as a questionnaire or form which, on form submission, can then be used to determine the correct client or job.

Images and footers

Include images in your templates as well as your standard e-mail footers.

Workflow progress

Use a workflow action to automatically send messages when a job progresses. In a Glide workflow route you can have any number of paths for the job to follow and any number of options to choose on each stage, message sending benefits from this high level of configuration. A workflow system can contain any number of routes to cater for differences between client groups or different teams/offices processes.

Alerts

Where workflow progression requires a user to progress a job alerts are fully automated and cater nicely for scenarios where the lack of job progress itself has triggered the need for a message to be sent, typically a reminder. Trigger alerts any number of days before or after key dates such as the job date (e.g. Year end), any statutory deadline, any internal target date or the actual date of an earlier job stage such as 'Date requested'. All alerts can be filtered to only send based upon deadline completion or the current stage or a job.

Bulk send

Send a message to a group of clients for more general updates not specifically linked to job progress or the lack of progress. This is great for situations such as minimum wage updates etc where you can send to all contacts with a tag such as Payroll.

Internal messages

Generate messages via either workflow actions or alerts and direct them internally to your team members. You can select either a specific team member or a job position such as Manager or Preparer, the latter will direct the message to the relevant occupant of the position on the job. Job position are fully configurable allowing for further moulding to your precise processes.

Recipient tagging

When sending to external clients you can associate as many contacts with each client as you need. For example this would allow for 4 directors, a bookkeeper, an FD and 2 directors' spouses to all be linked to a company. Each instance of a message being generated can then be targeted to a specific tag. This allows for messages to be sent to multiple recipients (any combination of those linked contacts), you can escalate as matters become more urgent by targeting a different tag applied to more contacts. In addition it provides a filter mechanism, for example you can have an message sent as part of your payroll workflow relating to CIS (Construction scheme) matters, you would then only tag those clients that this concerns.

Send options

Choose for Glide to send messages or use your own Mail server, alternatively send the data to any webhook so that it can be processed by another program such as Zapier, IFTTT or Microsoft Flow. Chose for messages to be sent immediately or to be queued for review/amendment, on a template by template basis.
